Stocktaking Overview

"Stocktaking" and "Inventory" are terms that vary from company to company, country to country or count to count. Stocktaking or "Jardah" in Arabic is not the simple act of counting but it is the act of identifying the core of the warehouse operations along with their weaknesses and strength

Inventory and Audits

 

Full Stock Count or Inventory

The best way to correct and value your stock is to conduct a full stock count or inventory. You can identify thefts, frauds, errors and many discrepancies simply by conducting a full stock count.
An inventory is our term for a complete itemised stock listing. The listing should always show the item’s part number as on the item itself, unit quantity, Cost per unit, currency symbol, additional information such as location, description, age or any readily available data.

If the customer's stock is fully bar coded, the items may be scanned using our own equipment other wise a hand written count will be conducted which takes more time for both count and results to show. The final report, a word-processor or spreadsheet file if required, can be presented in a number of formats including as a database.

 

Partial stock count Quantity only

Specific parts of the stock are carefully chosen by our experts in order to cover a major part of the stock without conducting a full count. Differences are reported by quantity and could be by value if cost of each item was supplied along with the stock list

Periodical stock count / audit (Cycle Valuation)

Stock counts conducted on a periodical basis according to company needs (Cyclic Counts: full, category or group). Perhaps one of the most common types of stocktaking service, this count will provide a summary of the stockholding by commodity group, shown in quantity and currency value. The figures are often used for year-end accounting procedures or management accounts and can be retrospectively used to substantiate an insurance or theft claim.

 

Inventory Due Diligence / Insurance Valuations

This service could involve full or partial stock count depending on the stock total book value and size in addition to time of the due diligence. Inventory due diligence will help the acquiring company to better decide whether to acquire the audited company or not.
Insurance valuations’ purpose is for ensuring an adequate insurance coverage

 

Bar coding and labeling

If the customer's stock and items are not bar coded we can carefully label all items and create a bar coded Inventory for easier follow up on stock, day to day transactions and easier future counts. Bar codes could depend on the company’s item number or the supplier’s. It is an essential step for all warehouses. 

 

Code Checking

Even if the stock is fully bar coded, many items could be wrongly labeled and a low cost item could be replacing a high valued item and thus affecting the balance sheet and profit & loss statement.
We could carefully inspect all items in the warehouse, identify wrong labels and replace with correct ones. Checking shelf / item edge labelling for accuracy and thoroughness can be used to reflect the realness of a stock

 

Inventory Depreciation Valuation

Many warehouses carry out stocks from year to year. We help create a list of old stacking items that are still in the selling life cycle, we advise a depreciation scheme to prevent future financial hits

 

Obsolete and Expiry Detection                                     

Old non-selling, damaged and expired goods (items) are a burden on the company’s financial cost. Our team can be utilised as a part of a rolling program or one-off exercise to check products status / date (Damaged, Expiry etc…). We could identify those items, prepare a list, put aside for destruction and insure the taking out of the system, in addition to preparing a formal letter for the appropriate ministry

 

Mapping

When locating an item or brand in a warehouse many companies rely on the memory of the storekeeper or warehouse keeper to locate an item, but what if the person is absent or new?
Mapping creates a physical Map for the whole warehouse that shows every item by its brand, category or group according to the warehouse arrangements and organizing. A software that is specially tailored to fit every business could be delivered at the end of the process

 

Warehouse management’s weakness detection and recommendations

We carefully observe and note the warehouse’s daily operations (delivery / receipt of items, preparation, filing, etc…), we review files and study all findings in order to detect weaknesses and recommend corrective management actions. This service could take from 3 days to 3 weeks for the same warehouse depending on the size of the stock, the number of employees and the product. Every warehouse in a single location is treated as a single case

 

Negative balances correction (cause & effect)

Most companies suffer from the common negative inventory balances that certainly reflect some type of problem. Being one or more of the three negative levels: Item Level, location Level or total amount Level; we identify the causes and effects, trace the items, study and recommend a corrective action

 

Employees Work Spirit Inventory Audit

A company’s success is mostly because of its team of employees. As an external (out of the company) and unbiased reference we can conduct a work spirit audit on the employees of the company by distributing a company tailored questionnaire. This service provides the company with the real spirit and productivity ratio of all the employees. A full report is presented with all details / ratios regarding the work environment, with recommendations for improvement

 

Operation Audit and Recommendations

We can conduct an audit on the whole operation of the company, detect weaknesses and set recommendations

 

Policies and Procedures Booklet (P&P B)

We can review, upgrade or set up new policies and procedures for the company tailored according to the needs. Any new P&P should be revised and approved by the appropriate management and upper management

 

Results Investigation

Asset Inventories

This is a home or business service providing a comprehensive photographed, documented and printed record of the physical and/or financial plant, equipment or assets contained within a location. The inventory list can be supplied as a computer file as well as hard copy.

Often a "fixtures & fittings" inventory is required on taking over a lease or tenancy at a public house; this service meets those requirements.
